Everyone asks where AI actually pays inside a travel business. My answer: start where the hours hurt most. For group trips, that's the back office, the rooming lists, the dietary spreadsheets, the payment admin. None of it is glamorous. All of it used to eat my team's week.
“Do you know we would spend at least 20 plus hours creating this?”
The rooming list that built itself
On a recent departure I gave AI our booking data and had it cross-reference every guest against the confirmation emails in our inbox, hotel confirmations, agency confirmations, all of it, and assemble a rooming list with a link to each guest's underlying confirmation, plus a tab for changes and a tab for upgrades. We would have spent twenty-plus hours building that by hand. It came back in minutes, with receipts.

at least, across the team
minutes, with links to every source email
Same deliverable: every guest matched to their hotel and agency confirmations, with a changes tab and an upgrades tab.

Dietary data that a restaurant can actually use
For a forty-guest trip, raw intake answers are chaos. AI turned ours into two documents: a summary matrix for my team, who eats everything, who doesn't eat pork, who's allergic to what, and a separate one-page version formatted for the restaurants we'd visit. Allergies aren't a preference sheet; done right, this is safety infrastructure. People can die from a kitchen that didn't know.
The admin an agent now does
- Creating payment links and updating deposits across every open trip, days of clicking, delegated to an AI agent for the price of a software subscription.
- One safety habit if you try agentic browsing: close every personal tab first. An AI browser assistant can read whatever is open.
- And the rule that makes all of it work: give the AI an example. Show it what good looks like in your brand, think Four Seasons, think Aman. AI is a tool, not the final answer; you review everything.
We used to pay real money every month for this workload. Now a small set of AI tools covers it, my team reviews instead of assembles, and the hours go where they belong, with clients. If your back office is eating your week, this is the place to point AI first. It's exactly what I teach, workflow by workflow, inside Travel AI University.
Common Questions
What group trip tasks can AI handle?
Rooming lists cross-referenced against confirmation emails, dietary and allergy matrices formatted for restaurants, payment link creation, and deposit updates across open trips.
Does AI replace a travel operations assistant?
It replaces the assembly work rather than the person. Claire's team reviews output instead of building it from scratch, which is where the reclaimed hours come from.
Is it safe to let AI handle trip paperwork?
Yes, with guardrails. Claire's standing rules are that AI never deletes anything, never receives payment details, and never sends client communication without her review.
